01Scheduling

An always-on schedule header that never scrolls away

On the Scheduling tab, the top header row now stays frozen in place as you scroll down through long rosters. The dates and column headings are always visible — no matter how far down the list you go.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Never lose your place. Day and date stay on screen, so you always know exactly which column a shift belongs to — even at the bottom of a busy multi-site week.
  • ✓Fewer mistakes. Reading across the correct day removes the #1 cause of mis-keyed shifts: scrolling down and losing the date context.
  • ✓Faster reviews. No more scrolling back to the top to check a heading, then back down again. Managers move through large schedules in a fraction of the time.
  • ✓Effortless on big screens and small. The pinned header keeps long rosters readable on laptops, tablets and wall displays alike.
💡Why it matters for your team: on a roster with dozens of staff across several days, the header used to disappear the moment you scrolled. Keeping it pinned turns a constant, error-prone "where am I?" into a glance — every read is anchored to the right date, every time.

Crossover View — see overnight shifts across both days at once

A brand-new view draws every overnight (cross-midnight) shift as a single continuous bar that spans the two calendar dates it actually covers. A 22:00–06:00 shift is shown flowing from one day straight into the next — exactly the way it happens in real life.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓No more mental math. Instantly see how a shift carries from one day into the morning of the next — no reconciling two separate cells in your head.
  • ✓A true whole-organisation picture. A clean, read-only overview of the entire schedule — ideal for briefings, handovers and oversight.
  • ✓One click to open. It's simply a new option in the Schedule view selector, carrying your current site, cycle and position filters with it.
  • ✓Built for clarity. Each shift is one coloured bar by position — so a glance tells you who covers what, and when, across the midnight boundary.

Lock approved attendance — with a complete audit trail behind every change

Attendance was always restricted to authorised people only. What's new is a locking system that protects records once they're approved, plus a full audit trail that records the story behind every single change.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Approve, then Lock. A locked record refuses every further edit, approval or un-approval — so finalised payroll data can't be changed by accident.
  • ✓Unlock whenever you need to. Need a genuine correction? Unlock, fix it, and lock it again. You stay in full control — locking simply prevents accidental changes.
  • ✓One record or all of them. Lock and unlock individually, or in bulk across every filtered record at once. Overnight pairs lock together, so a shift is never half-frozen.
  • ✓Every change is on the record. Who changed it, what they changed, when, and an optional reason note — all captured automatically.
🛡️Tracked actions include Regularised (single & bulk), Approved, Approval Cancelled, Locked, Unlocked, Marked No-Show and Shift Time Edited — even system actions like auto check-out are logged. Open a one-click timeline on any record, and export the full Change History to Excel or PDF, filtered by change type and by the admin who made it. Complete accountability for payroll disputes and compliance.

View overnight attendance as one row — or two dated rows

A new "Split overnight by date" toggle lets you choose how cross-over shifts appear in the attendance view. Flip it on or off instantly, depending on how you want to read and reconcile the data.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓One merged row: manage the whole overnight shift as a single record — simplest when you treat it as one continuous shift.
  • ✓Two dated rows: see the before-midnight and after-midnight halves separately, each on its own calendar day.
  • ✓Independent control. In split view, each half can be edited, approved and locked on its own — perfect when two days need to be handled differently.
  • ✓Zero re-work. It's the same underlying data, simply presented the way that suits the task in front of you.

05Payroll · Flexible exports

Download payroll data in whatever shape you need

Payroll exports are now flexible — with dedicated handling for cross-over shifts. A new "Export by Date" button sits alongside the standard export, so the data leaves Stafferin already in the format your payroll process expects.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Export — all payroll data for your current filters, in one click, as before.
  • ✓Export by Date (new) — overnight shifts split into one row per calendar day, ideal when each day has to be costed separately.
  • ✓Export Changes — the full audit trail (regularise / approve / lock) for your filters, with optional change-type and admin filters, as Excel or PDF.
  • ✓No reformatting afterwards. Pick the shape up front and hand it straight to payroll — fewer spreadsheets to clean up by hand.

06New module · Project Tracker

Run any project — and watch it move in real time

The Project Tracker is a brand-new module for managing any piece of work right alongside your scheduling: a site mobilisation, an equipment rollout, a maintenance punch-list, a recurring compliance push. You build the plan in the office, your team works it from the field, and everyone sees progress the instant it changes.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Projects, broken into tasks. Every task carries a priority, a due date and a clear status — To Do, In Progress, Delayed or Done.
  • ✓Assign to staff or vendors. Each task's owner is either one of your employees or an external vendor named directly — whoever actually does the work.
  • ✓Every update is kept. Each task builds an append-only history of field updates — a note, a status change, even a photo — stamped with who did it and when.
  • ✓Nothing slips silently. Flag a task Delayed and managers are alerted instantly; anything past its due date is caught by an automatic daily sweep.

Task marked Delayed — manager alerted
Mobile ⇄ web, in real time

Why we built it — in plain English

Every operation juggles dozens of little jobs at once. Here's the everyday headache the Project Tracker quietly takes off your plate.

Picture a normal week: a new site starts Monday, there are uniforms to order, a fire-panel inspection booked, and three reports due. Right now all of that lives in your head, a notebook, a handful of texts and a spreadsheet — so you spend the day asking “did that get done yet?”, and you usually only find out about the things that didn't when a client rings up to complain.
😵‍💫 Before — scattered & reactive
Order radios? Site 4 audit done? Where's the report? Did the vendor show? Uniforms ordered? ??
  • •Work is scattered across calls, texts, sticky notes and spreadsheets.
  • •You chase people for updates instead of doing your own job.
  • •Jobs get forgotten — until they turn into a complaint.
  • •You learn something's late after it has already gone wrong.
😌 After — one calm, organised place
✓Order replacement radiosDone
✓Site 4 access auditOn track
✓Fire-panel inspectionAssigned
✓Monthly reportsDone
  • ✓Every job sits in one place, with an owner and a due date.
  • ✓The field updates you automatically — no chasing.
  • ✓You're warned the moment something runs late — before it's a problem.
  • ✓A complete, time-stamped record of who did what.
In short, the Project Tracker turns “I hope that got done” into “I can see it got done.”

How it works

Four simple steps connect the office and the field — no spreadsheets, no chasing people for a status update.

1
Plan

A manager creates a project and breaks it into tasks, each with a due date and a priority.

2
Assign

Give every task an owner — one of your employees, or an external vendor by name.

3
Update

Field teams move tasks To Do → In Progress → Done from the mobile app, adding a note or photo.

4
Oversee

Managers watch a live board, receive Delayed & overdue alerts, and review full history and analytics.

For managersLive web board

  • ▸A real-time Kanban board — To Do · In Progress · Delayed · Done — across every project.
  • ▸Per-project progress %, priority badges and owner avatars at a glance.
  • ▸Create, edit, archive & restore — deleting a task never loses it for good.
  • ▸An Analytics dashboard — completion, overdue, due-soon, by owner and project — exportable to PDF.

For field teamsMobile “My Tasks”

  • ▸Each person sees only their own tasks — clear and uncluttered.
  • ▸One tap to Start, mark Delayed (with a quick note) or Done.
  • ▸Attach a note or photo as a field update from anywhere on site.
  • ▸The full task history is always visible and stays in sync with the office.

Security Runsheets — author a recurring guard tour once, then let checkpoint scans, geofence proof and exception alerts run themselves

Replace the paper runsheet for good. Build a checklist of checkpoint tasks, set it to recur daily, weekly, bi-weekly, monthly or every N days, and watch checkpoint scans, geofence proof, exception alerts and shift handoffs roll up into a single approve-or-reject report and consolidated PDF.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Build once, recur forever. Author a named runsheet template with tasks, shift windows and geofences, then attach a Runsheet Schedule — the system auto-generates a fresh instance every due date so nobody re-builds it manually.
  • ✓Per-checkpoint scan proof. Each task carries its own Checkpoint Type (QR, NFC, Beacon, GPS or Photo) and a geofence dropped from the built-in Leaflet map picker — guards can't fake a scan they weren't on-location for.
  • ✓Exception alerts that fire themselves. Define if-then Exception Rules for Task Missed, Late Start, Late Scan or Out of Sequence — pick a grace period, channels (Email, Push, In-App) and recipients (Site Contact, Area Manager, Rule Creator and more).
  • ✓Pause, reassign and hand off mid-shift. A guard pauses with a reason and resumes later; an admin reassigns it; guards request a handoff that a colleague accepts or declines from their pending-handoff inbox — full audit trail, no dropped checkpoints.
  • ✓Approve and export a client-ready report. The Runsheet Dashboard surfaces stat cards and analytics charts (By Status, Missed by Officer, Task Outcomes); approve or reject each submission, then click Export, PDF or Download Consolidated PDF for a date-range report.
  • ✓Client portal visibility with one toggle. The Exclude from client view switch per runsheet keeps sensitive tours private while sharing approved reports directly with the client — no extra export step.

Set Exception Rules for misses/late scans, then Publish. Under Runsheet Schedules, click Create Schedule, pick a frequency (Daily / Weekly / Bi-weekly / Monthly / Custom) and save — instances generate automatically. Licence-Aware Scheduling — block expired-credential guards before the shift is ever assigned

Stop scheduling guards onto sites with a lapsed licence — before it becomes a compliance problem. Flip one switch, star the documents that matter, and Stafferin refuses any assignment where a critical credential has expired as of that shift's date.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓One org-wide switch. Turn on Enforce License Requirements on Scheduling in Organization Settings and every assignment path — manual drag, reassign, bulk reassign — checks critical credentials automatically.
  • ✓Star exactly the documents that count. On the Licence Approval page, click the star next to any approved document to flag it as Critical for scheduling. Only starred documents are enforced — unrelated credentials never block anyone.
  • ✓Clear, named rejection. The moment an expired credential blocks an assignment, Stafferin responds with "Cannot assign: Jane Doe's Security Licence is marked critical for scheduling and expired on 2026-05-30." — the guard, the document and the date, all in one message.
  • ✓Auto-Schedule stays clean. When the toggle is on, Auto-Schedule silently skips every candidate whose starred document has expired — no manual cleanup of an AI-generated schedule afterward.
  • ✓Count upcoming at-risk shifts. Query GET license/vacated-count to get a single org-wide number of upcoming assignments already threatened by an expired critical credential, so you can act before the shift date.
📍Where: app.stafferin.com/organization-edit · Organization Settings → Enforce Licence Requirements · app.stafferin.com/license-approve · Licence Approval → star button
🎫How to use it — open Organization Edit, find the Enforce License Requirements on Scheduling switch and toggle it on, then save. Next go to Licence Approval, find an approved document (e.g. a Security Licence), click its empty star and confirm — it picks up a yellow Critical badge. From this point any assignment of a guard whose starred document has expired is rejected with a named error. Run Auto-Schedule and it will automatically skip ineligible candidates.

Smart Shift Backfill — ranked replacement guards for open shifts, and a full sick call-out log

Open shift? Don't scroll a roster. Stafferin instantly shortlists your top-ranked, qualified, nearby guards — with weekly-hours, site-familiarity and travel-distance signals — so the right person is covering the post in seconds, and every sick call-out is logged for billing and audit.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Ranked shortlist, not a roster scroll. Open any unassigned shift and Stafferin immediately shows the best-fit candidates ranked #1, #2, #3… each with a fit score out of 100, so you know who to call first.
  • ✓Coverage signals on every candidate. Weekly hours, Known site vs New site, home-to-site distance (km), and a red warning line for guards nearing their weekly-hours cap — all visible at a glance before you assign.
  • ✓Fill the shift in one click. Click a candidate row to drop them into the Assign field, optionally add a per-shift pay-rate override or a note (up to 500 chars), then hit Assign Shift — overnight pairs are covered automatically.
  • ✓Flag sick call-outs with no-pay support. Mark any assigned shift as a sick call-out with an optional no-pay flag and reason note; overnight pairs are flagged together, and no-pay shifts are excluded from billing and payroll.
  • ✓Sick call-out report for audit & payroll. The Attendance Dashboard's new "View Sick Call-Outs" table shows every flagged shift — date, time, employee, site, no-pay badge, notes, and who marked it — with a Total / No Pay summary line.
📍Where: app.stafferin.com/schedule · Open shift → Assign tab → Recommended Employees · app.stafferin.com/attendance-dashboard › View Sick Call-Outs
🔁How to use it — go to Schedule and click an open (unassigned) shift to open the manage modal. On the Assign tab the Recommended Employees list loads automatically: read each candidate's rank, score, hours, site-familiarity and distance badges, then click the row to select them. Optionally toggle a special pay rate or add a note, then click Assign Shift. To log a sick call-out, mark the shift via the API with an optional no-pay flag and note. Review all call-outs on the Attendance Dashboard — click View Sick Call-Outs to expand the report table and read the Total / No Pay summary.

Billing Profitability & Contracts — see revenue vs labour cost per client, and let recurring fees write themselves onto invoices

A new profitability layer shows revenue versus guard labour cost and margin % per client, contract, or site. Richer contracts add service types, dual tax rates, recurring and scheduled charges that auto-add themselves to generated invoices — set them once, never re-key them.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Ranked profitability by client, contract, or site. A single Group-by toggle on the Profitability Report card switches the chart and table to show Total Revenue, Total Labor Cost, Total Profit, and Overall Margin — sorted highest-profit first.
  • ✓Drill into every shift's margin. The Per-Line Item Margin Breakdown shows each guard's bill rate vs cost rate, revenue, labour cost, and margin % per shift, so you see exactly which assignments earn money and which don't.
  • ✓Recurring contract fees that write themselves. Define a monthly patrol fee or site surcharge once in Recurrent Items — it flows onto generated invoices automatically, every cycle, without re-keying.
  • ✓One-time scheduled charges, injected at the right moment. Queue a dated charge (e.g. a Q3 equipment fee) in Scheduled Charges; when batch generation covers that service date, the charge is injected into the invoice and marked Applied so it never double-bills.
  • ✓Hours by customer broken down by type. The Billed Hours by Customer table splits every contract's hours into REG, OT, DBL, WKD, and NGT columns — ready to reconcile with payroll.
  • ✓Service-type classification and dual tax rates. Tag each contract as Hourly Guarding, Scheduled Patrol, Recurrent Fixed Cost, or Dispatch, and set Tax Rate 1 and Tax Rate 2 that feed both invoice tax math and revenue-by-service-type analytics.
📍Where: app.stafferin.com/billing-analytics · Billing → Analytics tab for the Profitability Report & Hours-by-Customer · app.stafferin.com/billing-contracts · Billing → Contracts tab for Recurrent Items, Scheduled Charges, Service Type & dual tax rates · app.stafferin.com/batch-invoices · Billing → Batch tab for invoice generation
💰How to use it — open Billing Analytics, pick a period (This Month / Quarter / Year or a custom From/To range), set Group by to By Client, By Contract, or By Site, and read the ranked margin table. Drill into Per-Line Item Margin Breakdown to inspect individual shifts. Then open Billing Contracts, edit a contract, and use Recurrent Items → Add Recurrent Item for repeating fees or Scheduled Charges → Add Scheduled Charge for a dated one-off. Run Batch Invoices → Create + Process → Approve All Drafts → Distribute All — recurring and scheduled charges land on the right invoices automatically.

Site Tasks — define the duties between patrols, track every occurrence live and sign off with a PDF audit trail

Define recurring or ad-hoc duties for every site — perimeter checks, equipment sweeps, log-book sign-offs — on a daily, weekly, bi-weekly, monthly or custom schedule. Guards claim, complete and report on them from a "My Site Tasks" view; the live dashboard refreshes every 30 seconds showing completion, missed deadlines and pending approvals across all sites.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Define recurring duties in one modal. Set a title, site, position, frequency (One-Time, Daily, Weekly, Bi-Weekly, Monthly or Custom every N days), a Window Start/End time, and optional links to a Completion Form, Patrol Tour or Asset — with Requires Report and Requires Approval flags.
  • ✓Guards claim & complete on mobile. The My Site Tasks view shows an Available tab of open tasks at the guard's site; they claim, start, fill the form fields and GPS-stamp completion — or postpone with a reason.
  • ✓9-state lifecycle, tracked to the second. Every occurrence moves through Scheduled → Taken → Started → Report Complete → Complete (or Missed / Incomplete / Postponed / Cancelled) with GPS, photos and a signed report captured at each step.
  • ✓Live operations dashboard, auto-refreshed every 30s. Five KPI cards (Total, Complete, In Progress, Missed, Pending Approval) plus By-Status, By-Site and Daily-Trend charts give the office a real-time picture without chasing guards.
  • ✓Approve, reject and export. Open a completed task's report to review GPS location, audit timeline, form answers and photo gallery; approve or return it with a reviewer note, then download a per-occurrence or consolidated client PDF.
  • ✓Guard-to-guard handoff & ad-hoc dispatch. A guard requests a handoff mid-shift and the receiving guard accepts or declines; admins fire one-off tasks instantly with Dispatch Now without waiting for the next schedule.
📍Where: Left sidebar → app.stafferin.com/site-tasks · Dashboard at /site-tasks-dashboard · Guard view at /site-tasks-employee · Report viewer at /site-tasks-report
✅How to use it — open Site Tasks in the sidebar, click Create Site Task, fill the modal (title, site, frequency, window, linked form/tour/asset) and hit Save Task. The system generates dated occurrences automatically. Guards pick them up on the My Site Tasks page (Available tab), claim, complete with GPS and photos, then submit. Asset Containers — bundle keys, radios & fobs into patrol boxes and move an entire kit in one step

Stop tracking loose equipment one item at a time. Group assets into containers — a patrol box, keyring or lockbox — then check the whole box in or out, verify every item on return, and watch container health at a glance on the Overview dashboard.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Transfer board for instant grouping. A two-panel Available ↔ In container board lets you bulk-move loose assets into (or out of) any box in a single save — no item-by-item editing.
  • ✓Check out & check in an entire box. Hand a full patrol box to a guard, choosing which items go; on return the Verify items checklist flags anything that didn't come back.
  • ✓Container KPI dashboard. The Overview tab shows Total Containers, Items Contained, Empty Containers, Loose Items and the Fullest Container at a glance — with Items-per-Container and Containers-by-Status charts.
  • ✓Create new assets directly into a box. The Add New Asset button on the Organize tab creates an individual asset and nests it inside the selected container in one step.
  • ✓Full asset register stays intact. The Assets tab preserves the complete paginated register with Type (Containers / Items) filter, status, site, date filters, Export Excel and Export PDF.
  • ✓No custody records disturbed. Reorganizing items into or out of containers only updates parent references — existing check-out/check-in history is never touched.
📍Where: app.stafferin.com/asset-containers · Asset Tracking › Organize tab · Overview tab
📦How to use it — open Asset Tracking and switch to the Organize tab. Pick a container from the dropdown (or click New Container), tick loose assets in the left panel and click Add to container. To issue a whole box, go to the Assets tab, find the container row and click Check Out — choose the guard and which items go. On return, click Check In and uncheck anything missing. Asset Custody on Mobile — scan to check out, return with a container checklist, and audit on the spot

The full Asset & Key Custody engine, now in the guard's pocket. Scan or NFC-tap an asset or key to check it out, return it with a per-item container checklist, transfer or recover assets, and audit a container on the spot — every event stamped with who, when, where (GPS), and a tamper-proof history.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Scan or NFC-tap to check out. Point your phone at any asset's QR/barcode or tap its NFC tag — Stafferin resolves it instantly and records the checkout with GPS, expected-return time, and optional signature.
  • ✓Container return with a per-item checklist. Returning a patrol box or keyring shows every child item; tick each one present and Stafferin flags — and marks Lost — anything that didn't come back, then notifies supervisors.
  • ✓Non-destructive container audit. Admins and managers can snapshot exactly what's in a container right now — without checking it in or out — and stamp the container's Last Audit date; unaccounted items trigger a manager alert.
  • ✓Transfer and recover assets. Reassign a checked-out asset to another guard in one step, or bring a Lost asset back to Available — all logged in the unified custody history.
  • ✓My Custody & My History, always up to date. Guards see every asset they currently hold (with overdue flags) and a full paginated event trail scoped to only their own custody — no admin needed.
📍Where: Stafferin mobile app → Asset Custody · Guard scan / NFC check-out & return | app.stafferin.com/asset-containers · Container audit + Last Audit column | app.stafferin.com/nfcwrite · Program NFC tags
📲How to use it — Guards: open Asset Custody on the mobile app, scan or NFC-tap any asset, confirm the expected-return time and Check Out. To return, open My Custody, start a return, and tick off each item in the container checklist. Admins/managers: use POST /asset-tracking/custody/container-audit to run a non-destructive spot-check — review the per-child checklist, submit, and the container's Last Audit date is stamped in /asset-containers. Use Transfer, Mark Found, and Mark Damaged to handle custody changes without a guard action.

Site Command Center — every detail of one site, on a single 360° screen

Stop hopping between pages to understand a location. Open any site and get its complete operational picture in one place — live coverage, attendance, incidents, patrols, billing, assets, documents and more, organised into clearly labelled sub-views you can flip through in a click.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓One site, every angle. Roughly forty focused sub-views — overview, schedule, attendance, incidents, patrols, checkpoints, assets, billing, documents and beyond — all under one roof for the selected site.
  • ✓A live overview up top. Headline KPIs and today's coverage give you the state of the site the moment it loads, before you drill into any tab.
  • ✓Date-range aware. Pick a range once and the data-driven tabs respond — so trends, totals and history all line up to the window you care about.
  • ✓Built for managers. Respects each user's site access, so people see exactly the locations they're allowed to.

Employee 360° — one person's whole working life, on a single command screen

Everything you need to know about a guard, together at last. A live hero summary, real-time scope and a deep set of focused tabs — attendance, shifts, incidents, timesheets, assets, documents and more — so one screen answers almost any question about an employee.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓A real hero, not a mock-up. Live profile, current status and headline numbers load straight from your data the moment the page opens.
  • ✓Every tab that matters. Drill into attendance, shifts, incidents, timesheets, assets and documents — each with its own filters so you see exactly the slice you need.
  • ✓Range-aware metrics. Pick a date window and the tabs and headline numbers recalculate to match it.
  • ✓Manager-aware. Honours each user's access, so staff only ever surface the people they're permitted to see.

Finance & Billing — ad-hoc charges, tax classes & batch invoicing, all in one place

More control over what you bill and how it's taxed. Add one-off charges to an account, define reusable tax classes, and generate invoices for many sites in a single run — so month-end billing is faster and far less manual.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Ad-hoc charges. Drop a one-off line — equipment, a call-out, a credit — onto a client or site so it flows straight onto the next invoice.
  • ✓Reusable tax classes. Define your tax rates once and apply them consistently across charges and invoices.
  • ✓Batch invoices. Generate invoices across many sites in a single run instead of building them one at a time.
  • ✓Tighter, more accurate billing. Fewer manual steps at month-end means fewer missed charges and fewer corrections.
📍Where: Admin sidebar › Ad-hoc Charges · Tax Classes · Batch Invoices · app.stafferin.com/adhoc-charges

Configurable Employee Types — define your own staff classifications, your way

No more fixed, one-size-fits-all categories. Create the exact employment types your organisation uses — each with its own name, colour and display order — then reuse them everywhere you assign staff, on the web and in the mobile app.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Your own categories. Add types like Full-time, Part-time, Casual, Contractor or Supervisor — whatever matches how you actually run your team.
  • ✓Colour & display order. Give each type a colour swatch with a live preview and set its display order, so dropdowns and lists read exactly the way you want.
  • ✓Active / inactive without losing data. Retire a type to the Inactive tab — it drops out of the pickers but is never deleted, and you can reactivate it any time.
  • ✓Powers staff everywhere. Your active types populate the Employee Type dropdown on the employee form — in the web admin and the Flutter mobile app — kept perfectly in sync.
  • ✓Private to your organisation. Each organisation manages its own list; built-in system types stay protected, and one company's types are never visible to another.
📍Where: Admin sidebar › Employee Types · app.stafferin.com/employee-types
🎨How to use it — open Employee Types, click Add, give the type a name, pick a colour and set a display order, then save. Switch between the Active and Inactive tabs to manage the lifecycle. New types appear instantly in the Employee Type dropdown wherever you assign staff.

Client Profiles — one folder per customer company, with every site, contact & document

Keep everything you know about a client in one place. Group a company's sites, on-site and emergency contacts, and key documents into a single profile — then drill into any site for its own contact, timezone and special instructions.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Centralize company profiles. Legal name, a unique ID, address, main contact and timezone — in one searchable, paginated directory you can export to Excel or PDF.
  • ✓Link sites to a company. Attach operational locations to a client, then manage each site's own contact, timezone override and guard instructions.
  • ✓Emergency contacts per site. Build a prioritized list of fire, facility and emergency numbers so guards always have the right person to call.
  • ✓Documents at company or site level. Upload contracts, insurance, floor plans and procedures and keep them attached where they belong.

Asset & Key Custody — scan equipment in and out, with containers that check themselves

Track every key, radio and patrol box. Guards scan an asset to check it out and back in; containers show a checklist of what's inside and flag anything missing; admins transfer, recover and watch it all from a live dashboard.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Scan to check out & check in. From the mobile admin app or the web, scan a QR / barcode (or look it up) to take an asset and hand it back — every move timestamped to a person and shift.
  • ✓Containers that verify themselves. Returning a keyring or patrol box shows a checklist of its items; tick them off and Stafferin flags — and marks Lost — anything that didn't come back.
  • ✓Transfer, lost & recovered. Reassign a checked-out asset between staff, mark items Lost or Damaged, and bring them back to Available when found — with a full audit trail.
  • ✓One live asset dashboard. KPI cards show Available, Checked Out, Under Maintenance, Lost and Damaged at a glance — filterable by site and employee.

Lone Worker Recovery — see every missed check-in, and the moment a guard is safe again

A command dashboard for Lone Worker Safety: when a guard misses a safety check-in the escalation lands here — and the moment their next location ping arrives, Stafferin auto-marks them "Checked Back In". Filter, chart and close each one with notes.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓The whole picture in one KPI strip. Total escalations, who's still silent, who's checked back in, resolved counts, and average check-back and resolution times.
  • ✓Automatic check-back-in. When a guard who missed a check-in sends their next location ping, the recovery is detected within a minute and the row shows the time and address — no manual marking.
  • ✓Slice by site, guard, state & date. Multi-select filters plus quick ranges (Today / 7d / 30d / 90d / All) and five charts reveal who, when and how often.
  • ✓Close with an audit trail. Resolve any escalation with supervisor notes; the timestamp and your name stay on the record for compliance.

Districts — group your buildings and run a whole region from one place

Manage many sites as one operation? Group them into a District and Stafferin lets you schedule, patrol, dispatch and report across every building at once — from a single page. Take the whole district, or drill into one building. And nothing about running a single site changes.

QAWhat You Can Do & End-to-End Test Plan → 📖Open the full feature walkthrough →
  • ✓Group buildings into a district. Bundle the sites that belong together — one district per building, and districts can nest into larger regions.
  • ✓Schedule a whole district from one page. Switch the schedule into District mode, then choose all buildings or a single building — the grid and every dashboard follow your pick.
  • ✓Patrol, dispatch & reports, district-wide. See patrol tours, send a task, or run one combined Daily Activity Report across every building in the district — no page-hopping.
  • ✓Single-site work is untouched. Districts are purely additive — leave the toggle off and every existing screen behaves exactly as it did before.

For operations with lots of sites and staff, a dedicated Site Staffing board lets you assign and remove employees in bulk from a single screen — work by site (manage everyone at one location) or by employee (set every site one person can work).

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Two ways to work. “By Site” manages all the staff at one location; “By Employee” sets every site a single person is assigned to.
  • ✓Bulk, not one-by-one. Move people between Available and Assigned in batches — no more editing one record at a time.

Guard Dispatch — field reports, photo evidence & a start-to-finish timeline

When you dispatch a guard to an incident, Stafferin already tracks the whole response — accepted, en route, on site, completed — against SLA timers. Now the responding guard documents what happened from their phone: a written field report, an unlimited photo & video gallery with GPS, and a complete timeline of every step — all rolled into one detailed PDF for the client and billing.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓A real field report. The guard records a narrative, the actions taken, the resolution and any follow-up — signed on the spot from the mobile app.
  • ✓Photo & video evidence, no fixed slots. From the field, the guard attaches as many captioned, GPS-stamped photos and videos as the scene needs — a full gallery, not just a handful of fixed slots.
  • ✓Every step on one timeline. An append-only log records each status change, note and SLA warning or breach — with who, where (GPS) and when.
  • ✓One detailed PDF + SLA insight. Generate a branded dispatch report that travels with billing, and watch response times on the SLA metrics dashboard.

Auto-Schedule, your way — choose the rules before it runs

Clicking Auto on the schedule no longer fires a black-box run. A new options pop-up opens first, so you decide exactly how the schedule is built — and see, in plain English, the safety rules that always apply. Same one-click power, now with full control and nothing hidden.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Tick the rules you want. Respect availability, skip approved leave, keep a minimum rest gap, balance hours fairly, prefer the same shift as yesterday, cap weekly hours — each a simple on/off you set before the run.
  • ✓No more silently-dropped long shifts. A new Max daily hours control (defaults to 12) means 10–12 hour security shifts finally get fully assigned — fixing a long-standing surprise for longer rosters.
  • ✓Your manual work is safe. Auto-schedule only ever fills empty slots — it never deletes shifts you placed by hand, and the pop-up says so right where you click Run.
  • ✓See what the system does. An “Always applied” list spells out the rules that can't be switched off — never overfill a post, match the role, no double-booking, keep overnight pairs together.

Availability Lock — control who can change their own availability

A new organisation setting lets you stop employees editing their own availability — across the whole company, or fine-tuned per site. And whenever an employee adds, changes or removes availability, the right managers are alerted instantly by email and an in-app notification.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓One switch, company-wide. Turn employee self-editing off for the whole organisation from Organization settings — admins can still adjust availability on a worker's behalf.
  • ✓Per-site exceptions, either way. Lock just the airport while every other site stays open, or leave one site editable while the rest are locked.
  • ✓Managers stay in the loop. Every employee change sends one tidy alert — a five-day update is a single email, never a flood — to the org admins and that site's schedulers.
  • ✓Read-only, never hidden. Staff still see their availability in the app, with a clear “locked by your administrator” note — and the server enforces it independently of the app.
📍Where: app.stafferin.com/organization-edit › Availability · /site-availability-lock · 📱 My Availability

Filter positions by site — the right roles for any location, in one click

The Positions page now has a Site filter. Pick a site and the list instantly narrows to the roles staffed at that location — so multi-site operators stop scrolling one long organisation-wide list. It's on the web admin and the mobile app, with a fast type-to-search site picker.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓One list per location. Choose a site and see only the positions held by active staff assigned there — no hunting through every role in the company.
  • ✓Searchable site picker. The new Site dropdown is type-to-search, so even operators with dozens of sites land on the right one instantly. “All Sites” brings the full list back.
  • ✓Works with everything else. Name search, paging, add / edit and the active / inactive view all keep working right alongside the filter.

Mandatory Checkpoint Photos — visual proof at every patrol scan

Turn on one company-wide switch and every checkpoint a guard scans on a patrol tour now requires a photo. No more “I was there” on trust alone — you get a picture from every point, enforced on our servers so it can't be skipped.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓One switch, company-wide. Flip Require a photo on every patrol-tour checkpoint scan in Organization settings — off by default, so nothing changes until you turn it on.
  • ✓Enforced everywhere a guard scans. The Stafferin app and the NFC & QR web pages all block a scan with no photo — and the server rejects it too, so an out-of-date app can't slip one through.
  • ✓Skips and drafts still work. A checkpoint a guard genuinely can't reach (with a reason) and half-finished rounds saved as drafts aren't blocked — only the points they actually scan need a photo.
  • ✓No loopholes. The quick iPhone tap-a-tag scan — which has no camera — is blocked while the rule is on, so guards use the app where they can add the photo.

Shift-End Report — everything one guard did on a shift, on one page and one PDF

Reconstructing a guard's shift used to mean opening half a dozen screens. The new Shift-End Report gathers it all — clock-in/out and hours, patrols and checkpoints, incidents, SOS & Man-Down, lone-worker check-ins, dispatches, forms, site notes and visitors — into one summary and one branded, client-ready PDF.

  • ✓Proof-of-service in a click. Every row has a Download PDF button — a branded, shareable report you can send straight to the client.
  • ✓Everything that happened, nothing missed. Attendance & breaks, patrol tours & checkpoints, incidents, SOS / Man-Down, lone-worker escalations, dispatches, forms, site notes and visitors — overnight-aware.

Timesheet Review — approve hours with confidence, in one queue

A brand-new Timesheet Review workflow pulls every shift's hours into a single review queue, automatically flags check-in anomalies for a closer look, and keeps a complete approval history behind every decision. Approve or send back — one at a time, or in bulk.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Exceptions find you. Missed, early, late or irregular check-ins are flagged automatically — no hunting.
  • ✓Bulk or one-by-one. Approve or close an entire filtered queue in a single action.
  • ✓A full paper trail. Every approval, reopen and edit is recorded with who and when.
  • ✓Staff see it first. Employees review their own hours in the mobile app before payroll is finalised.

Simple Dispatch — send a task straight to a guard's phone

Create a quick task or instruction and dispatch it to any on-duty guard. They get an instant push notification, the task lands in their app, and the whole thing is logged — so nothing rides on a phone call that might be missed.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Instant reach. A push lands on the guard's phone the moment you dispatch.
  • ✓In the app, not just a call. The task is there to action and tick off.
  • ✓Always logged. Every dispatch is recorded — who, what and when.

Lone Worker Safety — missed check-ins now escalate automatically

Guards working alone check in on a timer from their phone. Miss one past your grace period and Stafferin records an escalation with the guard's last GPS position and alerts supervisors instantly — by email, push and a live red alert on the new Lone Worker page — so help moves fast and every welfare check is on the record.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Nobody slips through. Detection runs every minute. A missed check-in raises an alert carrying the guard's last known address, coordinates and GPS accuracy — you know exactly where to send help.
  • ✓Alerted three ways at once. Email, a push that opens the escalation when tapped, and a live alert on the escalations page — no refresh needed. The guard gets a reminder push first.
  • ✓Resolve and record. Supervisors close each alert with a required note (“confirmed safe by radio”) — who resolved it, when and how is kept forever.
  • ✓Proof for your clients. One click downloads a branded PDF safety report for any date range — escalation totals, average response time and the full detail log.
📍Where: app.stafferin.com/lone-worker-admin · 📱 Lone Worker Protection
🧭How to use it — Guard: open Lone Worker Protection in the app and tap Send Live to start; tap it again before each countdown ends, and End Shift when done. Supervisor: when a check-in is missed you'll get a push and an email; open Lone Worker in the admin sidebar, review the last location, and click Resolve to add a note. Admin: set the check-in interval (5–120 min) in Organization settings.

Parking Enforcement — complete tow records and a protected audit trail

A wave of upgrades across the parking suite: tow records now capture where the vehicle was taken, violations with a confirmed tow can no longer be deleted by mistake, repeat-offender counts are fairer, and the public resident lookup is back — with the lot name shown in full.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Complete tow records. A new “Towed to (destination)” field on the tow form — and the tow company name now saves and reloads correctly every time.
  • ✓Your liability record, protected. Once a tow is confirmed or completed, the violation can't be cancelled or deleted — and re-saving the same tow status is a harmless no-op.
  • ✓Fairer repeat-offender counts. A violation whose appeal was approved no longer counts against the vehicle or its red “Repeat” badge.
  • ✓Sharper everywhere else. The permit check re-runs when you switch site, Zones and the Parking Book finally agree on occupancy, and residents can self-serve lookups again — no login needed.

A reliability sweep you'll feel everywhere

Beyond the headline features, today's release closes out dozens of fixes and refinements across the platform — from public onboarding pages to billing accuracy to little moments of mobile polish. Nothing to switch on; it's all just smoother.

QAWhat You Can Do & End-to-End Test Plan →
  • ✓Public pages, dependable again. Employee onboarding links, online document signing and careers applications submit reliably.
  • ✓Billing accuracy for overnight shifts. Contracts that take effect the day of an overnight shift now price those check-ins at the right contracted rate.
  • ✓Confirmations you can trust. Timesheet Review actions no longer show false “failed” messages, and empty quick-add boxes prompt you clearly instead of failing silently.
  • ✓Faster and more exact. Dashboard cards load quickly for large teams, visitor visit durations are measured precisely, and the mobile app gained loading spinners and clearer messages throughout.

Pay a single shift above the standing rate, when it counts

Need to fill an urgent gap at a premium? You can now set a one-off pay rate for an individual shift — when assigning, when regularising, and now when a guard claims an open shift. The standing rate is never touched.

  • ✓Per-shift, not per-person. The premium applies to that one shift only.
