Import Stafferin hours into Paychex Flex

Paychex Flex imports hours from a CSV using an import template that you save once. After that, every pay period is just: export from Stafferin, upload, reuse the template, submit.

📖
Paychex requires a one-time account setting. Unlike the others, Paychex Flex has no public self-serve help page for file imports — your account needs the Standard Payroll Import (SPI) option enabled by your Paychex representative before a file will import. Call your rep first and ask them to enable SPI. A clear written walkthrough of the Flex import is in this vendor guide: Paychex Flex Integration Guide (PDF).
ⓘ
Paychex setups vary a little. Depending on your plan you'll use Paychex Flex → Time & Attendance import or Paychex Flex → Payroll → Import Pay Data. The steps below match the most common Flex flow; if your menu differs, the same idea applies — find "Import" under Payroll.

Step-by-step

1

Match Employee IDs first (one-time)

Paychex identifies people by their Employee ID / Worker number. In Stafferin's Settings → Payroll Export, make sure each person's Employee # equals their Paychex Employee ID. Do this once and imports will always line up.

2

Export the hours from Stafferin

Payroll → Payroll Export → choose the pay period → Download CSV.

3

Open Import Pay Data in Paychex Flex

Log in to Paychex Flex → Payroll → Enter Payroll (or Import) → choose Import Pay Data / Upload a file.

② Select the Stafferin CSV
4

Build (or reuse) the import template

First time only: tell Paychex which column is which, then save it as a template. Match them like this:

Stafferin column→Paychex field
Employee #→Employee ID (match key)
Regular Hours→Earnings — Regular (E001)
Overtime Hours→Earnings — Overtime (E002)
Department→Labor / Cost center (optional)
⚠️
Hours format: Paychex usually wants hours as a decimal (e.g. 8.5) rather than 8:30. In Stafferin's export settings, set the hours format to "Decimal" so 8 hours 30 min exports as 8.50.
5

Verify & submit payroll

Paychex shows imported hours per employee. Compare totals to the Stafferin summary, fix any flagged rows, then continue your normal Paychex payroll submission.

✅
Done. Next period, pick your saved template at Step 4 — no re-mapping. Export → upload → reuse template → submit.
