QuickBooks lets you upload a CSV of timesheets and shows a preview where you point each column to the right field. Friendly and forgiving — set up the mapping once and every future file just works.
Go to Payroll → Payroll Export, choose the pay period, and click Download CSV. Keep the Employee Name (or Employee #) and Date columns on — QuickBooks uses them to attach hours to the right person and day.
In QuickBooks Online go to All apps / Payroll → Employees → Manage Employees → Import Timesheets, then in the dropdown choose Custom file upload.
Drop in your Stafferin CSV. QuickBooks asks for the date format — Stafferin uses YYYY-MM-DD (e.g. 2026-06-02), so pick that. It then shows a preview of the first few rows.
For every column, tell QuickBooks what it is. You only do this carefully the first time — match them like this:
| Stafferin column | → | QuickBooks field |
|---|---|---|
Employee Name | → | Employee |
Date | → | Date worked |
Regular Hours | → | Regular hours |
Overtime Hours | → | Overtime hours |
Department / Location | → | Class / Customer (optional) |
Tick "Approve timesheets" if you want the imported hours auto-approved (otherwise they go through your normal approval). Finish the import, then Run payroll — the hours are already filled in for each employee.
