ADP
Exact format — follow each rule

Run payroll in ADP using your Stafferin export

Works for both ADP RUN (small business) and ADP Workforce Now (mid/large). You'll export one CSV from Stafferin and import it as Paydata / Time Sheet. ADP is the pickiest about file format, so we flag every rule.

⏱️ ~5 minutes 📄 One CSV file 🔁 Repeat each pay period
⚡
There is now an automated option — no CSV at all If you have ADP API credentials and a certificate, Stafferin can push every approved shift to ADP by itself, with nothing to do each pay period. Set up the automated ADP Workforce Now integration → Otherwise, the CSV route below works today and needs no setup.

⚠️
The 3 ADP format rules — set these in Stafferin once Open Settings → Payroll Export in Stafferin and make sure:
  • Format = CSV (comma-separated)
  • The export covers one pay frequency only (e.g. weekly OR bi-weekly, not mixed)
  • The Employee # column matches the File / Position number in ADP (this is how ADP knows who's who)

Step-by-step

1

Export the hours from Stafferin

In Stafferin go to Payroll → Payroll Export, pick your pay period, and click Download CSV. Save it to your Downloads folder — don't open and re-save it in Excel (that can corrupt the format ADP needs).

2

Log in to ADP

Go to workforcenow.adp.com (Workforce Now) or RUN from your ADP login. You'll need Practitioner or Limited Practitioner rights to import paydata — if you can run payroll, you have them.

ⓘ
Not sure which ADP you have? If your top menu says "Process → Payroll" it's Workforce Now. If it says "Run Payroll" on the home screen, it's RUN.
3

Open the import screen

Workforce Now: top menu → Process → Payroll, then in the left pane choose Import Paydata.
ADP RUN: on the payroll screen click Time Sheet Import.

② Select your Stafferin CSV here
4

Select the file & upload

Click Browse for Files → Add Files, pick the stafferin-hours-…csv from your Downloads, then click Upload. ADP reads each row and matches it to an employee by the Employee # / File number.

⚠️
If ADP says "employee not found": the Employee # in Stafferin doesn't match the File number in ADP for that person. Fix the number on the employee's Stafferin profile and re-export — you don't need to edit the CSV by hand.
5

Review & run payroll

ADP shows the imported hours per employee. Eyeball the Regular and Overtime totals against the Stafferin summary, then continue through ADP's normal payroll run to calculate and submit. Done — paychecks are calculated from your Stafferin hours.

✅
That's it. Next pay period, just repeat Steps 1, 3 and 4 — your format settings are already saved.

How Stafferin columns map to ADP

ADP's paydata import expects an employee identifier plus hour codes. Match your Stafferin headers to these in Settings → Payroll Export:

Stafferin column→ADP field
Employee #→File / Position Number (the match key)
Regular Hours→Reg Hours (hours code "Regular")
Overtime Hours→O/T Hours (hours code "Overtime")
Department→Dept / Distribution code (optional)
Date→Used for the pay-period reference
ⓘ
ADP only strictly needs the employee number + hours. Extra Stafferin columns (Location, Check-In/Out, Break) are ignored by ADP but are handy for your own records — leave them on or switch them off, your choice.
